A file plan is your organization’s taxonomy for records. Import from existing file plans or create in Microsoft Purview to organize retention labels with business context.

Import and Export

File plans can be imported from CSV or exported for external review. This enables:

  • Migration from legacy records management systems
  • Review by legal or compliance teams
  • Standardization across multiple tenants (MSP scenarios)
  • Audit documentation

Building a File Plan

  1. Identify all record types in your organization
  2. Map each record type to a business function and category
  3. Determine retention requirements based on regulations and business needs
  4. Define disposition actions (delete, review, archive)
  5. Document regulatory citations for each retention requirement
  6. Create retention labels matching your file plan structure
